AI terms explained without the jargon
These are the AI terms that come up constantly in conversations with AV and trade business owners, defined in plain language, no jargon required to understand the definition itself.
AI agent
A piece of software that looks at a task, decides what steps it needs, and carries them out, not just answers a single question. An agent handling inbound calls doesn't just transcribe them. It qualifies the caller, books the appointment and logs the ticket.
AI receptionist
An AI agent that answers inbound phone calls, identifies the caller, captures what they need, and either books an appointment or escalates a real emergency. It introduces itself as AI rather than pretending to be a person.
Automation
A fixed, repeatable process that runs without a person doing it manually each time. Automation follows the same steps every time. An AI agent, by contrast, makes judgment calls inside those steps.
Business brain
A structured set of files that gives an AI permanent knowledge of one company: its products, its people, its process, its history. Without one, every AI conversation starts from zero. With one, an AI already knows your business.
Change order capture
The practice of catching extra work a client asks for on site, "while you're here," and turning it into a signed, billed change order before the work happens instead of after it is already done for free.
ChatGPT
OpenAI's AI assistant, the most widely used of the major chat-based AI tools. Good for general writing, research and quick answers. Owner adoption is high because it was first to market.
Claude
Anthropic's AI assistant, built by the company behind this website's own AI systems. Strong at longer, more structured work: writing, analysis, and running multi-step tasks through tools like Cowork.
Connector
A piece of setup that lets an AI reach into another piece of software, your calendar, your email, your CRM, so it can read from it or act inside it instead of you copying information back and forth by hand.
Context
Everything an AI has been told or given access to before it answers a question. An AI with no context about your business gives generic answers. An AI with the right context gives specific ones.
Cowork
Anthropic's product for running Claude across a set of connected tools and files inside a real workspace, rather than one message at a time in a chat window.
Gemini
Google's AI assistant, built into Google Workspace and Google Search. Strongest where it already has access to Gmail, Docs and Calendar, since it is built by the same company that runs them.
Grok
xAI's AI assistant, built into X. Known for a more casual, less filtered tone than the other major assistants, and for real-time access to what's being posted on X.
Hallucination
When an AI states something confidently that is false or made up, without flagging any uncertainty. The reason every system Obsessed AI builds keeps a person approving the output before it goes to a client.
Kickoff packet
A document handed to the install team before a job starts, built from the sale, that answers the questions a tech would otherwise ask on site: rack location, attic access, client preferences, anything verbally promised.
Knowledge base
A searchable collection of a company's own documents, job history and service notes that an AI can query in plain language, so a technician gets a documented answer instead of calling the one person who remembers.
Large language model
The underlying technology behind ChatGPT, Claude, Gemini and Grok. Trained on enormous amounts of text so it can generate language, answer questions and follow instructions. The engine, not the product.
Owner dependency
The condition where a business cannot run a normal week without the owner personally approving decisions, answering calls or reviewing work. The core problem Obsessed AI's systems are built to reduce.
Plugin
A pre-built add-on that gives an AI a specific new capability, connecting to a tool or performing a task it could not do on its own, without building that capability from scratch each time.
Prompt
The instruction you give an AI to get a specific result. A vague prompt gets a generic answer. A specific prompt, with real context, gets a usable one.
RAG
Short for retrieval-augmented generation. In plain terms: instead of an AI answering purely from what it was trained on, it looks up your actual documents first, then answers using what it found there.
Skill
A packaged, repeatable way of doing a specific task, built once and reused every time that task comes up, rather than explaining it to the AI from scratch each time.

Workflow
The actual sequence of steps a piece of work goes through inside a company, from a lead coming in to a job closing out. Most AI systems are built to fix one specific workflow, not the whole business at once.
